Payment, Cancellation & Refund Policy

PAYMENT TERMS AND CONDITIONS

1. Payment Process

All payments must be made by the person named as the Charterer on the Charter Party Contract to the Stakeholder’s designated bank account or via an authorized representative**/agent.**

2. Accepted Payment Methods

Payments can be made using any of the following methods:

  • Bank transfer to the designated account (for bookings confirmed more than 30 days in advance).
  • Any associated bank fees are to be settled by the Charterer or their authorized representative, in order to ensure that the full quoted amount is received.
  • Payment link supporting all major credit cards and Apple Pay.
  • Credit card directly processed through the authorized representative.

Note: Payments made by credit card are subject to the applicable processing fees, which will be added to the total amount.

3. Booking Confirmation and Payment Schedule

A booking is officially confirmed once a down payment of 50% of the total charter fee is made within seven (7) days of receiving the signed booking confirmation. Proof of payment must be submitted immediately upon completion of the deposit.

The remaining 50% balance must be paid as follows:

  • Daily Charters: The remaining 50% of the charter fee, plus estimated fuel costs, no later than thirty (30) days prior to embarkation.
  • Weekly Charters: The remaining 50% of the charter fee, plus VAT, APA (Advance Provisioning Allowance), and any relocation fees (if applicable), no later than thirty (30) days prior to embarkation.

For weekly charters, any bank retainment will be deducted from the APA, in accordance with HYBA/MYBA contract terms.

All final transfers must be accompanied by proof of payment clearly stating the name under the booking, the booking date, and the vessel booked.

4. Last-Minute Bookings (Within 30 Days of Confirmed Charter Date)

For bookings made less than thirty (30) days prior to the charter date, 100% of the total payment, along with any additional requirements, must be paid in full at the time of booking:

  • Daily Charters: Full payment plus estimated fuel costs.
  • Weekly Charters: Full payment plus APA (Advance Provisioning Allowance) and any relocation fees (if applicable).

5. Optional Extras – Personalize Your Experience

In addition to the standard charter package, guests may request and book optional extras to customize their experience. These may include, but are not limited to:

  • Premium beverages and spirits (price list available upon request).
  • On-board catering subject to the yacht’s galley amenities.
  • DJ services and live entertainment.
  • Event decoration and setup.
  • Water toys and equipment (e.g., jet skis, seabobs, paddle boards).
  • Other bespoke requests, subject to availability and prior arrangement (e.g., transportation from/to accommodation and embarkation location).

For Mykonos daily charters, entry fees for the site of Delos are payable directly by the Charterer at the entrance of the sacred site. Guide fees, if applicable, will be agreed upon during the booking process.

All extras must be confirmed in advance (subject to availability) and will be added to the final invoice unless otherwise agreed in writing during the booking process.

Payment for extras follows the same schedule as the main charter fee, unless otherwise agreed in writing.

Cancellation Policy for Daily Charters

General Cancellations

In the event of cancellation of the charter by the Charterer for any reason, the following cancellation policy will apply depending on the time interval between the booking confirmation and the cancellation date:

Policy of “Dossier’s expenses”:

  • €150 for yachts up to 37 feet.
  • €300 for yachts over 37 feet and up to 50 feet.
  • €350 for yachts over 50 feet and up to 68 feet.
  • €450 for yachts over 68 feet.

Policy of “Dossier’s expenses” will be applied for bookings cancelled up to 90 + days prior to boat embarkation ( time frame between 61 and 90 days +)

Cancellation fee of 50% of the charter hire of the yacht, for bookings cancelled within a period of less than 61 up to 31 days prior to boat embarkation.

Cancellation fee of 100% of the charter hire of the yacht, for bookings cancelled in a period of 30 days prior to boat embarkation.

Cancellations Due to Weather Conditions

In the event of cancellation of the charter due to weather conditions meaning that the yacht is not allowed to cruise by port authority safety regulations, the following cancellation policy will apply:

  • A “Dossier’s expenses” fee applies as outlined above.
  • The remaining amount of the charter fee will be refunded in full.
  • Should the charter and the boat be available on the next possible better weather date, then the booking may be rescheduled upon confirmation of both parties (client and owner).

Cancellations by the Charterer Despite Permission to Cruise

In the event of cancellation by the charterer, as he judges that weather conditions are not favorable but permission to cruise has been given by the Port Authorities, the following cancellation policy will apply:

  • A cancellation fee of 100% of the total charter hire will apply, minus the fuel cost.

Cancellation Policy for Weekly/Long Term Charters

General Cancellations

If the Charterer cancels the charter for any reason, the following cancellation policy applies based on the time interval between the booking confirmation and the cancellation date:

Policy of “Dossier’s expenses”:

  • €150 for yachts up to 37 feet.
  • €300 for yachts over 37 feet and up to 50 feet.
  • €350 for yachts over 50 feet and up to 68 feet.
  • €450 for yachts over 68 feet.

This applies to cancellations made between 90 and 61 days prior to embarkation or for cancellations due to unfavorable weather conditions.

Cancellation fee of 30% of the charter hire of the yacht for bookings cancelled between 90 days up to 61 days prior to boat embarkation.

Cancellation fee of 50% of the charter hire of the yacht for bookings cancelled within a period of less than 61 up to 31 days prior to boat embarkation.

Cancellation fee of 100% of the charter hire of the yacht for bookings cancelled in a period of 30 days prior to boat embarkation.

Weather-Related Cancellations

Should the weather conditions prohibit cruising due to adverse weather conditions, indicating that the yacht is prohibited from cruising by safety regulations enforced by the port authorities, there would be no refund. The Captain will adjust the itinerary as necessary, ensuring travel to destinations feasible under prevailing weather conditions.
